How to create and manage batches
A batch is one group of students taking a course together, with its own schedule and register.
What you will learn
- What a batch is and how it differs from a course
- How to create a batch
- What the columns on the batch list tell you
Before you begin
- The course must already exist.
- Decide which days of the week the class meets and when it starts.
A batch is one group of students taking one course together, starting and finishing on particular dates. One course can have many batches — a January group and a March group, for example. The batch is where the students, the sessions, the timetable and the register all live.
What the columns mean
- Batch
- The batch code and the course it belongs to.
- Tutor
- Who teaches it.
- Schedule
- Which days of the week the class meets.
- Dates
- The first and last day.
- Method
- How it is taught, for example online using Zoom.
- Sessions
- How many classes are planned.
- Enrolled
- How many students are on it.
- State
- Whether the batch is active.
Create a batch
Step 1. Click Batches in the left-hand menu.
Step 2. Click New batch.
Step 3. Choose the Course and type a Batch code. Both are required.
A batch code is how people recognise the group, so make it meaningful. Step 4. Set Capacity — the largest number of students allowed on it.
Step 5. Set Start date and End date.
Step 6. Fill in Planned sessions if you know how many classes there will be.
Step 7. Click Create batch.
Open a batch
Click anywhere on the batch's row to open its workspace. Inside you can see its students, its sessions, its timetable and its register in one place.
The Actions button at the end of each row is a quicker route to the same places: it offers Open batch workspace and, where there is a class to mark, Take attendance.
Show more or fewer columns
Click Columns above the table to hide columns you do not need. This is very helpful on a small screen.
What you should see
The new batch appears in the list and can take enrolments.
Helpful tips
- Include the course code and the month in the batch code, such as DAP-01-JAN, so it is obvious later.
- Set the capacity honestly. It stops a class being over-filled by mistake.
If something goes wrong
- You cannot find the course in the Course list.
- Only courses that exist can be chosen. Create the course first.
- The batch code is refused.
- Batch codes must be unique. Another batch already uses that code.
